EduCampus – Office Coordinator (Hybrid)
EduCampus is a shared services initiative that provides business critical Information and Communications Technology (ICT) application services and Management Information Systems (MIS) systems to the Higher Education and Research sectors in Ireland. EduCampus acts as a broker for clients by engaging with relevant service providers and suppliers in negotiating software licensing, application, hosting, and support agreements in addition to providing implementation services and business operations support to the client base.
We have an exciting opportunity for an experienced Office Coordinator to join the Client Engagement team on a permanent contract basis.
What the Client Engagement Team does
Client engagement and collaboration is integral to our operating model. EduCampus partner closely with the leadership within the sector as well as system users and subject matter experts across the client community to ensure our services deliver innovate and cutting-edge technology aligned with our client’s strategic ambition. The Client Engagement Team manages the following functions in EduCampus: Procurement and Contract Management; Communications; Client Engagement; Business Support and Facilities Management.
We are looking forward to welcoming a dedicated individual to manage and support business-related activities for the team across each of these responsibility areas, specifically business support and facilities management. This role will report to the Head of Client Engagement and will work closely with the Client Engagement Team and colleagues across EduCampus and HEAnet.
The Office Coordinator will be responsible for providing a high-quality business support experience to all teams across the organisation. This role will oversee Facilities Management, including liaising with the property management company and other external vendors to maintain the EduCampus office, equipment, and amenities. A key element of this role will be Finance Administration, raising purchase orders and coding invoices for payment, as well as reconciling transactions on company credit cards, in addition to supporting CE Director in the preparation of the Annual Budget.
The Office Coordinator will be first point of contact for all Health & Safety related activities, ensuring the office is compliant with regulations and coordinating all relevant training for staff members. Furthermore, this role will support all Front-Office functions, including greeting visitors, meeting & event preparation, managing general mailboxes and phoneline, as well as providing adhoc assistance to our colleagues and clients in a professional manner. Successful candidate in this role will also provide essential support to the wider Executive team, on specific projects as needed.
There will be other responsibilities and duties that crop up from time to time, making this role an interesting and varied one.
This role is based in our office in Dublin 1; however, we have a hybrid work framework in place which will allow you to do some work from home if you choose to do so. On different days of the week, any team member may be working from home, so we use tools like Microsoft Teams to keep in touch.

What we need from you
- Extensive administration and strong relevant business support experience
- Proficient in use of MS Office applications
- Excellent communication skills, both written and verbal, with the ability to form positive working relationships at all levels
- Ability to work in a dynamic work environment and adapt to changing priorities
- Strong time management and organisational skills with the ability to manage and organise daily workload by prioritisation
- Excellent attention to detail
- Ability to maintain a high level of confidentiality when dealing with sensitive data
- Excited to go above and beyond for colleagues and clients
